Keeping the lights on used to be Eskom's job. Now it's a line on your income statement. It's tempting to think it all comes out in the wash — you claim the generator eventually either way. But timing is money. A running cost reduces this year's taxable profit in full, now. A capital asset drips its deduction out across several years, so the tax relief arrives slowly. So what can you actually deduct?

The test for any expense is whether it's incurred in the production of income — plainly, is it genuinely a cost of running your business. For load-shedding that usually covers:

  • Diesel and fuel for the generator, to the extent of business use.
  • Servicing, maintenance and repairs on your backup-power kit.
  • Wear-and-tear allowances on the generator, inverter or solar system, spread over its useful life.

  • The input VAT on diesel and on the equipment — if you're VAT-registered and hold valid tax invoices.

A print shop through a bad stretch of load-shedding

The shop spends R135,000 on an inverter-and-battery system and R9,000 on diesel over the year running an older backup generator on the worst Stage 6 days. The R9,000 diesel is deducted in full this year as a running cost. The R135,000 system is capital — claimed through wear-and-tear allowances across its useful life, so only a portion reduces this year's profit. One power problem, two completely different tax treatments — and if the owner had tried to expense the full R135,000 now, the return would have been an easy target for a query.

Solar and inverters: a bit more nuance

Not all backup power is treated identically. A diesel generator and a solar-plus-battery system are both capital assets, but they can attract different capital-allowance treatment and useful lives, and renewable-energy installations have at times carried enhanced allowances designed to accelerate the write-off. The rules here shift with each Budget, so don't assume the treatment your neighbour got two years ago still applies. The principle stays constant — the kit is capital, claimed over time — but the rate at which you claim it is worth checking for your specific installation before you commit a large spend.

Keep the paperwork — because you'll be asked to prove it

Fuel especially is the kind of expense SARS asks you to substantiate if it verifies your return. Keep the invoices and slips, and where equipment is used partly for personal purposes, keep a sensible, written basis for the business split. Cash diesel purchases with no record are precisely the deductions that get disallowed — and, for VAT, no valid tax invoice means no input claim. For the equipment itself, hold onto the purchase invoice and the finance agreement, because that's the document that supports your wear-and-tear claim for years to come. Log fuel like every other cost, not as an afterthought in a glovebox.

The cashflow side nobody plans for

The tax treatment is one thing; the cash hit is another, and it's the one that actually sinks businesses. Diesel is lumpy and unpredictable — a bad stretch of high-stage load-shedding can blow a hole in a month's cashflow that nobody budgeted for. A few practical moves:

  1. Build a backup-power line into your monthly budget based on your worst recent months, not your best.
  2. Track it as its own line so you can actually see what load-shedding costs you — you can't manage what you don't measure.
  3. If you're financing equipment, match the repayment term to the asset's useful life so you're not still paying off kit that's already worn out.
  4. Keep a small cash buffer specifically for fuel spikes, so a bad month doesn't force you into expensive short-term borrowing.
  5. Model whether a longer-term fix — solar, bigger inverters — beats endlessly buying diesel. Over a couple of years the capital spend, plus its wear-and-tear relief, often pays back.
